Senior Administrative Assistant - Meridian, ID at Boise

Job Description

The Sr. Administrative Assistant provides administrative support to the Executive Director and Optum Idaho management team in a manner consistent with the highest levels of performance and professionalism. Position involves face-to-face and telephonic interaction with our state of Idaho client and the public. The position is highly customer-service oriented.Principal Duties and Responsibilities:Proactively identifies solutions to non-standard requests.Solve moderately complex problems on own.Work with team to solve complex problems.Plan, prioritize, organize and complete work to meet established objectives.Handle highly confidential information discretely. Interact with individuals at all levels of the organization. Answer incoming calls and facilitate handling of requests for information. Evaluate calls in terms of importance and use independent judgment to take action.Prepare presentations, letters, memos, contracts, reports, and charts using MS Office applications. Manage calendars, coordinate travel and prepare expense reports. Make meeting arrangements (e.g. reserving conference rooms, ordering food if necessary, arranging WebEx, ensuring participants have access to facilities and systems) and coordinate changes in meeting schedules. Greet visiting clients, guests and employees. Prepare outgoing mail, including overnight express. Independently perform varied administrative duties related to functional area. Maintain filing systems. Work effectively as an integral member of a team.Maintain a high level of organization and attention to detail.On-board new employees (BSL responsibilities for internal applicants).Prepare all staff meeting presentations and coordinates meeting logistics.Plan and organize logistics of large and/or offsite events, using internal resources as needed (e.g., UHC Maxvantage Meeting Teams)Maintain awareness of potential issues issues and/or repairs needed within the office environment (e.g., office equipment, HVAC, cleaning, security, furniture services) and coordinate/oversee maintenance and repair.Create and/or maintain administrative desk manual to ensure continuity of office operations.Perform Business Segment Liaison duties as assigned.Manage, monitor and procure office supplies, goods and servicesPerform other duties as assigned.This position is located in Meridian, Idaho

Job Requirements

Intermediate MS/Office (Word, Excel & Outlook) skills are required High school diploma or equivalent. 3+ years of administrative experience in support of executives. Typing and personal computer proficiency.Demonstrated interpersonal, written and oral communication skills. Serve fellow team members and our customers with compassion.Tact, diplomacy, and sensitivity to respect confidential information.
